Basecamp and Paymo serve distinctly different project management needs. Basecamp excels at team collaboration with its superior real-time communication features and straightforward interface, making it ideal for small teams prioritizing clear communication and simple project tracking.

Paymo, on the other hand, stands out with its exceptional time tracking, workload management, and invoicing capabilities, making it the better choice for client-focused businesses needing detailed time and billing management. While both tools offer strong customer support, Basecamp provides better data exportability and documentation features, whereas Paymo offers superior resource management and financial tracking tools.

Advantages of Basecamp

Basecamp provides better customer support
Basecamp's customer support is outstanding, with quick access to detailed responses through their in-app live chat. While Paymo also offers good support, Basecamp goes further with extensive resources, YouTube videos, and FAQs to help users get started.
Basecamp is far superior at real-time collaboration
We found Basecamp's collaboration features to be exceptional, with a robust announcement board that eliminates unnecessary emails and meetings. Unlike Paymo's basic commenting system, Basecamp offers group chats, private messaging, and client-facing communication tools that foster transparency and immediate feedback.

Advantages of Paymo

Paymo offers significantly better workload management
Paymo's team scheduling module provides clear visibility of team member workload across all projects, helping prevent overbooking and optimize resource allocation. Basecamp lacks native workload visualization capabilities, making it harder to balance team capacity.
Paymo is far superior at time tracking and billing
We found Paymo's time tracking capabilities to be exceptional, with features like built-in Pomodoro timer, automatic desktop app tracking, and detailed timesheet views. Unlike Basecamp, which only offers basic time tracking, Paymo seamlessly integrates time data with billing, making it ideal for agencies and client-focused teams.
Paymo excels at portfolio management
Paymo provides comprehensive portfolio management with multiple views (table, board, Gantt) and detailed project status tracking including billable amounts. While Basecamp offers basic portfolio views, Paymo's implementation is notably more sophisticated for managing multiple projects simultaneously.
Paymo has superior invoicing capabilities
Paymo offers native, comprehensive invoicing functionality with features like direct client payments and detailed financial tracking. Basecamp requires third-party integrations for invoicing, making it less suitable for client-focused businesses.

Basecamp is best for

  • Businesses with a very low number of active projects (1-2 projects at a time)
  • Who need transparent team communication and want to reduce email overload through announcement boards
  • And/or who want intuitive task management without complex features like custom fields or workflow automation

Paymo is best for

  • Businesses with a low number of active projects (3-5 projects at a time)
  • Who need robust time tracking and client billing capabilities, like automatic desktop time tracking and direct client payments
  • And/or who want strong team workload management across projects with visual scheduling and capacity planning.

Basecamp is less good for

  • Businesses with a moderate to high number of active projects (5+ projects at a time)
  • Who need customisable workflows and advanced project management features like task dependencies, custom fields, and automated workflows
  • And/or who need robust portfolio management with workload visualisation and direct integration with development tools like JIRA or GitHub

Paymo is less good for

  • Businesses with a high number of active projects (10+ projects at a time)
  • Who need extensive workflow automation and custom fields for complex project structures
  • And/or who want robust internal documentation and advanced reporting capabilities beyond time tracking.

Stackfix Verdict
Functionality
3

Functionality

3/10

<p>Caters to key functionalities for small businesses, allowing users to create and manage projects and tasks through to-do lists, a kanban adjacent board, timelines, project specific-shared docs and a unified, transparent team message thread.</p><p>However, in the essence of being simple and intuitive, it lacks components that other tools provide like OKR/goal setting, workflow automation or simply adding custom fields to your tasks.</p>
6

Functionality

6/10

<p>Paymo focuses on delivering the core set of functionality required for managing client work. It offers excellent time tracking, invoicing and accounting functionality. However, the focus on client projects mean Paymo lacks some common project management functionality, such as inbuilt documentation, building automated workflows, adding custom fields or any meaningful analytics (besides time reports).</p>
Ease of Use
5

Ease of Use

5/10

<p>Learning Curve = 3</p><p>User-Friendliness = 8</p><p>Basecamp has quite an intuitive UI and it's easy to locate where all the important features are after you've done their basic tour. They have a lot of resources to help a user get to grasps with the tool. However, there are some features you may have to search for a bit but it's a small set.</p>
7

Ease of Use

7/10

<p>Due to its limited functionality, Paymo is rather easy to navigate. Key workflows such as tracking time, creating new tasks and projects are straightforward and intuitive. However, there are some UX quirks. For example, you can only manage task dependencies in the portfolio view, and there are unfamiliar terms here and there e.g. an unexplained "booking" tab that's by default in every tab.</p>
Look and feel
6

Look and feel

6/10

<p>Going back to Basecamp's implicit motto of 'no-fluff, gets the job done', it has a minimalistic UI which is acceptable and is fast to load. Other tools have a more attractive look and feel and could provide a more appealing layout/colour combination.</p>
6

Look and feel

6/10

<p>Although not visually stunning, Paymo's interface is uncluttered and functional. However, we have noticed that Paymo's pages load slowly at times (3+ seconds).</p>
Customisability
2

Customisability

2/10

<p>Basecamp allows you to have custom project views but that's pretty much it. Unfortunately you won't be able to access some of the key features that the other tools provide like custom workflows, reports, tags, fields.</p>
3

Customisability

3/10

<p>While Paymo allows for some customisation e.g. switching between project views, applying filters to customise project views - its focus on client projects limits further customisability. Every project must be structured around clients and time budget. Also, you're unable to add any custom fields or tags, or create custom reports.</p>
Ease of Setup
6

Ease of Setup

6/10

<p>Offers a self-serve free trial and allows purchase without needing to talk to sales. Getting started and setting up a few tasks and subtasks should take 20-30 minutes, but it lacks a rich library of templates. Full setup should take less than a day.</p>

Customer Support
9

Customer Support

9/10

<p>Amazing responsive customer support via an in-app live chat bot. You should be able to get a detailed response from a person quite quickly. To complement this, they have curated a wealth of resources, youtube videos and FAQs to get you going.</p>
9

Customer Support

9/10

<p>Paymo offers in-app live chat with their C-suite members. The Paymo team almost always responds within minutes, and helpful and patient. You can also tell that the team is open and responsive to customer feedback. You can also easily access Paymo's help centre within the live chat widget, which is a plus.</p>
Integratability
4

Integratability

4/10

<p>An API is available and it natively integrates with Zapier and a host of cloud resources but it missed out on quite a few useful tools like Github, Zendesk and Freedesk which other tools would be able to accommodate. However, you could use Zapier to connect to a variety of third party tools and Basecamp does link up with a few useful mobile-apps which is a bonus, but this is just something which doesn't happen natively. Someone would need to add those further integrations on your end.</p>
3

Integratability

3/10

<p>Paymo only has 14 pre-built integrations. While this list includes Google Calendar, Zapier and Slack, it's missing a lot of common integrations with tools from categories like customer support, sales, analytics etc. However, it does offer an API for custom integrations.</p>
Ease of Migration
9

Ease of Migration

9/10

<p>Can export data easily via adminland if you have the permissions for it in the organisation.</p>
4

Ease of Migration

4/10

<p>It seems like you're only able to export invoices and your list of projects + clients via self-serve. There doesn't seem to be any easy way to export your tasks &amp; task content. However, this may be doable via Paymo's API.</p>
