Hive and Proofhub serve distinct project management needs, with Hive excelling in automation and integration capabilities while Proofhub focuses on ease of use and core project management features.

Hive is better suited for larger organizations requiring complex workflows and extensive third-party integrations, particularly those needing advanced automation capabilities and workload management. Proofhub, on the other hand, is ideal for teams prioritizing ease of use, custom reporting, and internal documentation, though it lacks automation features and has limited integrations. The choice between the two largely depends on whether automation and integration capabilities (Hive) or user-friendliness and core project management features (Proofhub) are more important for your team's needs.

Advantages of Hive

Hive is significantly better at workflow automation
We found Hive's automation capabilities to be exceptional, offering both in-app and cross-app automation with conditional logic and an impressive array of trigger and action functions. Unlike Proofhub, which lacks any automation features, Hive allows teams to automate repetitive tasks and create complex workflows across multiple apps.
Hive offers superior workload management
Hive's time dashboard provides comprehensive workload visualization with capacity filtering, allowing managers to easily find team members with available capacity. This is particularly valuable for resource allocation, whereas Proofhub only shows basic task assignments without workload insights.
Hive has more extensive third-party integrations
Hive offers significantly more third-party integrations than Proofhub, including crucial tools like Zapier, Zendesk, and JIRA. This makes Hive more suitable for teams needing to connect multiple tools in their workflow.

Advantages of ProofHub

Proofhub is significantly easier to use
We found Proofhub's interface exceptionally intuitive, requiring only 1-2 hours for new users to become proficient with key functionalities. This is particularly valuable for teams that need to onboard new members quickly or organizations with varying levels of technical expertise. In comparison, Hive requires around half a day of training and can be complex, especially when dealing with workflow automations across apps.
Proofhub provides better custom reporting capabilities
Proofhub excels in custom reporting, allowing users to create detailed reports using custom fields as axes for granular task breakdown. The self-serve dashboards are quick to set up and effectively display metrics with visual aids. In contrast, Hive only offers pre-built analytics without custom reporting options, limiting flexibility for specific reporting needs.
Proofhub offers superior visual customization
Proofhub's interface features thoughtful touches of color and a well-structured UI that makes information easily digestible. The home page particularly stands out with its organized widgets displaying salient information. While Hive's interface is functional, it lacks the same level of visual refinement and organizational clarity that Proofhub provides.

 • Businesses with a moderate number of active projects (5-10 projects at a time)
 • Who need intuitive task management with visual dashboards and need granular custom reporting capabilities

Hive is less good for

 • Businesses with a low number of active projects (3-5 projects at a time)
 • Who need real-time collaboration features and internal document creation capabilities
 • And/or who want advanced project management features but have limited budgets.

ProofHub is less good for

 • Businesses with a high number of active projects (10+ projects at a time) who need sophisticated workflow automation and extensive third-party integrations
 • Who need advanced resource management capabilities and workload visualization for team capacity planning
 • And/or who need advanced project templates and sophisticated document management with extensive customization options.

Functionality
6

Functionality

6/10

Generally, Hive's functionality is strong where it is available, but many of its best features are only available on its most expensive plans. Hive's automation both in-app and across app stand out as incredibly strong. Time-tracking functionality is also very impressive - with quick ways to filter for availability, but, again, this is only available on their more expensive plans. For creative work and real-time collaboration - Hive isn't great. It lacks any real time collaboration tools and the ability to make internal documents.

5

Functionality

5/10

ProofHub does the basics well and that's about it. It offers easy to use task management features like creating subtasks, dependencies, simple but effective timesheets and strong custom and self-serve reporting dashboard. It offers no automation and limited integrations.

Ease of Use
7

Ease of Use

7/10

Hive is easy to use - functions are well-labelled and the reasonable amount of customisation means that you never feel overwhelmed. The only exception to this is workflow automations across apps. As such, we expect an average start-up employee would require around half a day and minimal guidance to proficiently use all key functionalities of the product.

Processes are always easy to locate key info and processes are generally intuitive.

We estimate that an average start-up employee would require around 1-2 hours before being proficient at using all key functionalities.

Processes are intuitive and require few clicks to find. This goes even for the more advanced features like custom reporting.

Look and feel
6

Look and feel

6/10

Hive is more colourful than some of its competitors with similar UIs and the general architecture of its UI is nicely layout. That being said hive is not visually anything special - it just does the job.

6

Look and feel

6/10

Nice touches of colour and and well-structured UI make ProofHub visually acceptable The home page in particular organised all salient information into an easy-to-read and attractive set of widgets, though it lacks that touch of elegance offered by more modern competitors.

Loading times are fast ~1 second.

Customisability
6

Customisability

6/10

Hive has some strong customisation features - unfortunately many of these are only available of its more expensive tiers. Customisations for automated workflows are strongest with conditional logic and plenty of action and trigger functions across many apps. Forums are also highly customisable with conditional logic again available, along with many answer types and the ability to turn responses of forms into tasks.

8

Customisability

8/10

Custom reports, dashboards, widgets on the homepage and fields are the best features here. Custom reports allow you to collect data on based on any custom fields you have assigned to projects and tasks and display such information using bar charts.

Cosmetically, you can use white-labelling to make your workspace consistent with your branding and aesthetic. Custom domain names are also available.

There is no customisable automation is available.

Ease of Setup
9

Ease of Setup

9/10

Offers a self-serve free trial and allows purchase without needing to talk to sales. Getting started and setting up a few tasks and subtasks should take 20-30 minutes, because it has a very rich library of templates. Full setup should take less than a day.

Customer Support
9

Customer Support

9/10

Hive has great customer support personalised help is available both via email and on a live chat in app and responses are fast (<1 hour).

Self-serve materials also have great depth and quality. In particular, succinct video tutorials make discovering the platform a breeze.

6

Customer Support

6/10

ProofHub push their self-serve materials, albeit they are of strong depth and quality - with videos and articles covering almost all queries you could have. However, no personalised in-app chat is available. You must click through their self-serve materials until you arrive at a 'questions and queries section' where you can complete a form and receive an email response. Responses usually take less than 12 hours and are usually helpful.

Integratability
8

Integratability

8/10

Hive has integrations with most third parties of interest. Most notably, the across-app automations are available with such a large varied of third parties that Hive seamlessly integrates within your project management ecosystem.

Hive also has an API which allows teams to build custom integrations if needed.

5

Integratability

5/10

ProofHub is let down by its lack of integrations with only 14 available and some useful software -like Zapier, Zendesk, Notion and Jira - missing. That being said basic integrations like Quickbooks, email and Slack work well.

To mitigate this, however, ProofHub offers an API for custom integrations.

Ease of Migration
6

Ease of Migration

6/10

All reports can be exported to a pdf file. There is a large selection of self-serve analytics with great depth and quality (much of this is behind their most expensive tiers) but there are no custom reports.

8

Ease of Migration

8/10

All self-serve and custom reports are available to export to CSV or PDF file with one click.
