Smartsheet and Hive are best for different types of teams. Smartsheet excels for technical teams handling data-intensive projects, offering superior portfolio management and sophisticated forms functionality, making it ideal for large enterprises with complex data needs.

However, its steep learning curve and less responsive support make it challenging for smaller teams. Hive, conversely, shines in user-friendliness and automation capabilities, making it better suited for teams prioritizing quick implementation and workflow automation, particularly those without extensive technical expertise.

Advantages of Hive

Hive offers superior customer support compared to Smartsheet
Hive provides exceptional customer support with fast response times (under 1 hour) and comprehensive self-serve materials, including video tutorials. In contrast, Smartsheet's support is less reliable with slower response times and requires payment for their 'Smartsheet University' to learn advanced features.
Hive is significantly more user-friendly than Smartsheet
We found Hive's interface much more intuitive and easier to navigate than Smartsheet's spreadsheet-based approach. While Smartsheet requires several days of training and familiarity with spreadsheets, Hive can be learned in half a day with minimal guidance. This makes Hive particularly valuable for teams that need to get up and running quickly without extensive training.
Hive offers superior built-in chat functionality
Hive includes built-in chat functionality for direct team communication within the platform, while Smartsheet lacks this feature entirely. This makes Hive more suitable for teams requiring seamless internal communication without switching between apps.
Hive enables multiple assignees per task, unlike Smartsheet
Hive allows multiple team members to be assigned to a single task, which is particularly valuable for collaborative projects requiring shared ownership. Smartsheet lacks this capability entirely, limiting task ownership to a single person.

Advantages of Smartsheet

Smartsheet is significantly better at portfolio management
We found Smartsheet's portfolio management capabilities to be exceptional, with an auto-generating projects dashboard that provides comprehensive project links, completion percentages, and task status breakdowns. Smartsheet stands out for its ability to manage multiple projects simultaneously, offering a level of depth and visual aids that surpass what Hive provides with its basic project navigation and filtering.
Smartsheet offers more sophisticated forms functionality
Smartsheet's forms feature stands out with exceptional customization options, including conditional logic, diverse question types, and cosmetic customizations. While Hive offers basic form functionality, Smartsheet's implementation allows for more complex data collection and task creation workflows, making it particularly valuable for teams needing to gather structured data.
Smartsheet excels at data-intensive project management
For teams handling complex, data-heavy projects, Smartsheet's spreadsheet-based approach provides superior functionality. Its cell history, strong automation, and detailed team capacity reporting features make it particularly effective for technical teams. While Hive offers basic project management tools, it doesn't match Smartsheet's depth for data-intensive work.

 • And/or who want easy onboarding with strong customer support and extensive self-serve training materials.

Smartsheet is best for

 • Businesses with a high number of active projects (10+ projects at a time)
 • Who need granular data collection and analysis through highly customizable forms that automatically populate spreadsheets
 • And/or who want sophisticated resource management with features like workload heatmaps and capacity tracking.

Hive is less good for

 • Businesses with a low number of active projects (3-5 projects at a time)
 • Who need real-time collaboration features and internal document creation capabilities
 • And/or who want advanced project management features but have limited budgets.

Smartsheet is less good for

 • Businesses with a low number of active projects (3-5 projects at a time) who need simple, intuitive task management without spreadsheet complexity.
 • Who need real-time document collaboration and built-in chat features for quick team communication
 • And/or who need seamless integration with developer tools like GitHub or support desk solutions like Zendesk.

Stackfix Verdict
Functionality
6

Functionality

6/10

Generally, Hive's functionality is strong where it is available, but many of its best features are only available on its most expensive plans. Hive's automation both in-app and across app stand out as incredibly strong. Time-tracking functionality is also very impressive - with quick ways to filter for availability, but, again, this is only available on their more expensive plans. For creative work and real-time collaboration - Hive isn't great. It lacks any real time collaboration tools and the ability to make internal documents.

8

Functionality

8/10

Smartsheet has all the functionality that companies will need - including some more sophisticated functions required only my large companies. Smartsheet offers: excellent portfolio management features, cell history, strong automation and some nifty team capacity reporting features.

Ease of Use
7

Ease of Use

7/10

Hive is easy to use - functions are well-labelled and the reasonable amount of customisation means that you never feel overwhelmed. The only exception to this is workflow automations across apps. As such, we expect an average start-up employee would require around half a day and minimal guidance to proficiently use all key functionalities of the product.

Processes are always easy to locate key info and processes are generally intuitive.

5

Ease of Use

5/10

Smartsheet is designed to function in a similar way to a spreadsheet. If you are comfortable using these or have used them before, learning your way around Smartsheet will be easier. However, even if this is the case, processes can be a bit fiddley compared to other project management tools. We estimate that average start-up employee and would require a few days and some guidance before being able to use the product fluently.

Key information and processes are generally easy to find but not always easy to perform.

Look and feel
6

Look and feel

6/10

Hive is more colourful than some of its competitors with similar UIs and the general architecture of its UI is nicely layout. That being said hive is not visually anything special - it just does the job.

6

Look and feel

6/10

Smartsheet lacks colour and is generally a bit plain to look at. That being said, the software is visually acceptable and for the most part has fast loading times (~1 second). When first creating a new project or workspace, loading times can be slower (upwards of 6 seconds) - but this is a one off occurrence.

Customisability
6

Customisability

6/10

Hive has some strong customisation features - unfortunately many of these are only available of its more expensive tiers. Customisations for automated workflows are strongest with conditional logic and plenty of action and trigger functions across many apps. Forums are also highly customisable with conditional logic again available, along with many answer types and the ability to turn responses of forms into tasks.

8

Customisability

8/10

Smartsheet has some very strong customisation features. The most impressive being their forms which are customisable in almost every way - from question type to, condition logic, to cosmetics etc. Automation is also nicely customisable with a vast array of action and trigger functions, as well as conditional logic available. Smartsheet could benefit from a few more task views - other similar project management tools offer far more!

Ease of Setup
9

Ease of Setup

9/10

Offers a self-serve free trial and allows purchase without needing to talk to sales. Getting started and setting up a few tasks and subtasks should take 20-30 minutes, because it has a very rich library of templates. Full setup should take less than a day.

Customer Support
9

Customer Support

9/10

Hive has great customer support personalised help is available both via email and on a live chat in app and responses are fast (<1 hour).

Self-serve materials also have great depth and quality. In particular, succinct video tutorials make discovering the platform a breeze.

6

Customer Support

6/10

Personalised support is available via email and and in-app chat. The in-app chat feature is not something to rely on too much as responses are not always fast. Email agents are very accommodating, useful and fast (relies in less than 6 hours).

Self-serve materials are strong but not exceptional. They do not have 'how to's' for every feature. This is likely to drive traffic to their paid 'Smartsheet University' where they charge to teach you basic, intermediate and advanced functions in Smartsheet.

Integratability
8

Integratability

8/10

Hive has integrations with most third parties of interest. Most notably, the across-app automations are available with such a large varied of third parties that Hive seamlessly integrates within your project management ecosystem.

Hive also has an API which allows teams to build custom integrations if needed.

Ease of Migration
6

Ease of Migration

6/10

All reports can be exported to a pdf file. There is a large selection of self-serve analytics with great depth and quality (much of this is behind their most expensive tiers) but there are no custom reports.

8

Ease of Migration

8/10

Key data and custom reports are available self-serve to export to a CSV file.
