Monday and Zoho Projects offer many of the same features but still shine in different areas. Monday excels in visual workflow management and team resource allocation, while Zoho Projects shines in automation and customer support.

Monday is better suited for teams prioritizing intuitive workload management and diverse project views, particularly in marketing and creative industries where visual workflow management is crucial. Zoho Projects, on the other hand, is ideal for teams requiring sophisticated workflow automation and excellent customer support, especially in technical industries where complex process automation is essential.

Advantages of Monday.com

Monday is significantly better at workload management
Monday's workload view is exceptionally intuitive, allowing teams to visualize and balance work distribution across team members with just one click. Unlike Zoho Projects, which only shows individual workloads, Monday provides a comprehensive team-wide view that helps prevent burnout and ensures balanced resource allocation.
Monday offers superior integration capabilities
Monday's integration ecosystem is more comprehensive than Zoho Projects, featuring a massive library of 74 pre-built automation templates with third-party apps. This makes it particularly valuable for teams looking to automate workflows across multiple tools, such as automatically creating tasks from Gmail or syncing with marketing automation tools.
Monday provides more versatile project views
With 17 different board views compared to Zoho Projects' limited options, Monday offers significantly more flexibility in how teams can visualize their work. While this might seem overwhelming initially, it provides valuable specialized views like workload and map views that Zoho Projects lacks.

Advantages of Zoho Projects

Zoho Projects is significantly better at customer support
We found Zoho Projects' customer support to be exceptional, with fast and helpful live chat responses from real humans. While Monday offers decent support with quick agent connections, they tend to default to sending Help Centre articles. This difference matters particularly for teams needing hands-on assistance during implementation or when dealing with complex workflows.
Zoho Projects offers more straightforward task management
While testing both platforms, we found Zoho Projects provides a clearer, more intuitive task management experience compared to Monday's potentially overwhelming template-heavy approach. Unlike Monday, which can become cluttered with its numerous templates and views, Zoho Projects maintains a more focused interface that's particularly valuable for teams prioritizing efficient task management.
Zoho Projects has superior document collaboration features
We found that Zoho Projects offers more flexible document management, allowing you to create and collaborate on rich text documents, spreadsheets, and presentations at both project and task levels. In contrast, Monday limits document creation to the workspace level only, which can be restrictive for teams needing project-specific documentation.

Functionality
7

Functionality

7/10

Monday.com offers almost all the functionality most companies need to manage tasks and projects effectively. It has rich functionality natively such as robust automation, customizable forms, time-tracking, analytics, and even invoice creation. This allows teams to streamline their workflows and enhance productivity without relying heavily on external integrations.

However, it's missing the advanced customizability and automation that larger teams require to manage complex task and project relationships e.g. creating multiple layers of subtasks, meaningful project portfolio management functionality and sophisticated workflows with branches.

7

Functionality

7/10

Zoho projects does offer most of the functionality that most companies will need. This includes strong task management features, four standard project views (list, kaban, gantt and calendar), as well as, strong workflow automation with an extensive selection of trigger and action functions.

However, it doesn't allow you to track company goals. The lack of templates when creating internal documents and some of the real-time collaboration features - like whiteboards - leave a lot to be desired.

Ease of Use
7

Ease of Use

7/10

Monday.com offers a generally user-friendly experience, with an abundance of templates and smooth onboarding that lowers the barrier of entry for non-technical, new users.

However, when delving into more advanced features, the platform's ease of use starts to wane. There's foreign terminology such as adding a "Problem Framing" quickies block to your docs, or enabling "battery view" for your board. The interface can also become cluttered as you use projects scale and more features are utilised.

For the average SMB employee, it might take 1-2 days with minimal guidance to become comfortable with the platform.

7

Ease of Use

7/10

Zoho projects as a nice balance of easy of use and functionality. We estimate that an average start-up employee would require around half a day + some guidance to proficiently use all key functionalities of the product.

Key process are generally properly labelled and easy to find. However, some of the less-used functions regarding editing the your personal interface can be harder to find.

Look and feel
7

Look and feel

7/10

Monday.com emphasizes visual management with bright, engaging colours and customisable icons. While this visual approach makes it easy to understand project statuses at a glance, it could also quickly get cluttered and busy, Page loads are quick (1-2 seconds).

6

Look and feel

6/10

Zoho projects' is visually nothing special. The UI lacks colour generally and the collapsible task bar on the side of the interface has a tired look. That being said, there is nothing visually unappealing or confusing - it does the job.

Loading times are fast, generally ~ 1 second per page.

Customisability
8

Customisability

8/10

As an all-in-one tool, Monday.com offers a high level of customizability suitable for most teams, allowing you to tailor boards with custom columns, statuses, and automation without needing to code. Individual cards can be anything from tasks, projects to deals, employees and client. However, it doesn't match the advanced customization capabilities of tools like JIRA —such as creating multiple layers of subtasks or defining complex task relationships—which may limit larger teams managing complex projects.

7

Customisability

7/10

Zoho projects has some decent customisation feature - with some blind spots.

Some of the beast features include:

Email templates for automated reminders which support placeholders.

Automations in general are very customisable with a large array of trigger and action functions available to use with conditional logic.

Custom reports allow for head to head comparison on specific metrics. Most useful of these are the time taken vs. time estimate and the actual cost vs. projected costs.

However, Zoho projects does not offer templates for custom documents or many task views - with only four available.

Ease of Setup
9

Ease of Setup

9/10

Offers a self-serve free trial and allows purchase without needing to talk to sales. Getting started and setting up a few tasks and subtasks should take 20-30 minutes, because it has a very rich library of templates. Full setup should take less than a day.

Customer Support
7

Customer Support

7/10

Monday.com offers personalised live chat within the platform. Ease of Migration

8/10

While you can self-serve export data to formats like Excel, not all information—such as activity logs or certain file attachments—transfers seamlessly. Like other PM tools, custom fields and complex workflows might require manual rebuilding in the new platform, and these limitations can complicate migration efforts for teams with intricate setups.
