Paymo is significantly better at time tracking and billing
We found Paymo's time tracking capabilities to be exceptional, with features like an inbuilt Pomodoro timer, automatic desktop app tracking via Paymo Track, and seamless timesheet-to-invoice conversion. While Zoho Projects offers basic time tracking, it lacks the depth and sophistication of Paymo's offering, which is particularly valuable for agencies and consultancies billing by the hour.
Paymo offers superior customer support
Paymo provides exceptional customer support with rapid responses from senior team members through in-app chat, demonstrating a strong commitment to customer success. We find that Paymo's direct access to senior team members and their proven track record of incorporating customer feedback sets them apart from other providers, such as Zoho Projects.
Paymo excels at team workload visualization
Paymo's team scheduling module provides comprehensive workload visualization across all projects, making it easy to identify overbookings and available capacity. In contrast, Zoho Projects only allows individual user workload views without team-level aggregation, making resource management more challenging.

Advantages of Zoho Projects

Zoho Projects is significantly more customizable
We found Zoho Projects offers extensive customization options that Paymo lacks, including custom fields for tasks, email templates with placeholders, and configurable automation workflows with conditional logic. This flexibility is crucial for teams that need to adapt their project management tool to specific workflows. Paymo, in contrast, has very limited customization options and forces projects to be structured around clients and time budgets.
Zoho Projects has superior workflow automation capabilities
While testing Zoho Projects, we found it offers powerful automation features including field updates, email alerts, and custom functions using deluge code. Teams can create complex automated workflows with extensive trigger and action options. Paymo completely lacks workflow automation capabilities, requiring manual handling of all task transitions and notifications.
Zoho Projects offers better integration options
Zoho Projects provides significantly more integration options than Paymo, including connections with key tools like GitHub, Zendesk, and both Google and Outlook ecosystems. This makes it much easier to connect with existing toolstacks. Paymo only offers basic integrations with Google Calendar, Zapier and Slack.
Zoho Projects includes built-in document collaboration
We found Zoho Projects includes native document creation and collaboration features, allowing teams to create and collaborate on rich text documents, spreadsheets and presentations within the platform. Paymo completely lacks any internal documentation capabilities, requiring teams to use external tools for document collaboration.

<p>Paymo focuses on delivering the core set of functionality required for managing client work. It offers excellent time tracking, invoicing and accounting functionality. However, the focus on client projects mean Paymo lacks some common project management functionality, such as inbuilt documentation, building automated workflows, adding custom fields or any meaningful analytics (besides time reports).</p>

<p>Zoho projects does offer most of the functionality that most companies will need. This includes strong task management features, four standard project views (list, kaban, gantt and calendar), as well as, strong workflow automation with an extensive selection of trigger and action functions.</p><p><span style="color: rgb(0, 0, 0);">However, it doesn't allow you to track company goals. The lack of templates when creating internal documents and some of the real-time collaboration features - like whiteboards - leave a lot to be desired.&nbsp;&nbsp;</span></p>

<p>Due to its limited functionality, Paymo is rather easy to navigate. Key workflows such as tracking time, creating new tasks and projects are straightforward and intuitive. However, there are some UX quirks. For example, you can only manage task dependencies in the portfolio view, and there are unfamiliar terms here and there e.g. an unexplained "booking" tab that's by default in every tab.</p>

<p>Zoho projects as a nice balance of easy of use and functionality. We estimate that an average start-up employee would require around half a day + some guidance to proficiently use all key functionalities of the product.&nbsp;</p><p><br></p><p>Key process are generally properly labelled and easy to find. However, some of the less-used functions regarding editing the your personal interface can be harder to find.</p>

<p>Zoho projects' is visually nothing special. The UI lacks colour generally and the collapsible task bar on the side of the interface has a tired look. That being said, there is nothing visually unappealing or confusing - it does the job.</p><p><br></p><p>Loading times are fast, generally ~ 1 second per page.</p>

<p>While Paymo allows for some customisation e.g. switching between project views, applying filters to customise project views - its focus on client projects limits further customisability. Every project must be structured around clients and time budget. Also, you're unable to add any custom fields or tags, or create custom reports.</p>

<p>Zoho projects has some decent customisation feature - with some blind spots.</p><p>Some of the beast features include:&nbsp;</p><ul><li>Email templates for automated reminders which support placeholders.</li><li>Automations in general are very customisable with a large array of trigger and action functions available to use with conditional logic.</li><li>Custom reports allow for head to head comparison on specific metrics. Most useful of these are the time taken vs. time estimate and the actual cost vs. projected costs.</li></ul><p><br></p><p>However, Zoho projects does not offer templates for custom documents or many task views - with only four available.</p>

You can also tell that the team is open and responsive to customer feedback. You can also easily access Paymo's help centre within the live chat widget, which is a plus.</p>

Replies are very fast - usually less than a minute.&nbsp;</p><p><br></p><p>Self-serve materials via their help website are also of excellent depth and quality - covering nearly all functions you may have trouble with.</p>
