ProjectManager is significantly easier to use than Smartsheet
We find ProjectManager significantly easier to use than Smartsheet, with a much gentler learning curve. New users can become proficient in about an hour, compared to several days for Smartsheet. This is particularly valuable for teams that need to get up and running quickly without extensive training.
ProjectManager provides better real-time collaboration capabilities than Smartsheet
ProjectManager enables better team collaboration through its commenting system and task-level interactions, while Smartsheet lacks built-in real-time collaboration features and relies on external tools like Google Docs for collaborative work.

Advantages of Smartsheet

Smartsheet has superior form functionality
Smartsheet's forms are exceptionally well-designed, with highly customizable features including various question types, conditional logic, and cosmetic customizations. This is particularly valuable for teams that need to gather structured data or manage request intake. ProjectManager lacks form functionality entirely.
Smartsheet offers more sophisticated automation capabilities
Smartsheet's automation features are more advanced, with conditional logic and a large selection of pre-built trigger and action functions. Teams can create complex automated workflows with custom triggers and actions. While ProjectManager offers basic automation, it's limited to 12 trigger and 7 action functions.
Smartsheet is significantly more customizable
We found Smartsheet's customization capabilities to be far superior, particularly in forms and automation. Its forms feature offers extensive question types and conditional logic, while automations include a vast array of trigger and action functions. This level of customization is crucial for teams needing to tailor their project management tool to specific workflows. ProjectManager, in contrast, offers only basic customization options.
Smartsheet has better portfolio management features
Smartsheet's portfolio management capabilities are exceptional, with an auto-generating projects dashboard that provides comprehensive project tracking. This includes project links, completion percentages, task status counts, and overdue task tracking. We prefer Smartsheet's portfolio features over ProjectManager's, which don't offer the same level of comprehensiveness.

ProjectManager is best for

  • Who need efficient task management and basic workflow automation for day-to-day operations
  • And/or who want comprehensive project visibility through ready-made reports and dashboards.

Smartsheet is best for

ProjectManager is less good for

<p>ProjectManager has most of the functionality that any team will need. More importantly, these features are done well. Reporting, automations and task management are all strong and easy to use. However, none of ProjectManager's features are exceptional - they do the basics and they do them well - that's it. For example, automations are only offer 12 action and 7 trigger functions and no integrations with email, slack etc.</p>

<p>Smartsheet has all the functionality that companies will need - including some more sophisticated functions required only my large companies. Smartsheet offers: excellent portfolio management features, cell history, strong automation and some nifty team capacity reporting features.</p>

<p>The learning curve here is not steep at all - the product is usable right from the word go. We estimate that a start-up employee would require about 1 hour and some guidance to be comfortable using all key functionalities.</p><p><br></p><p>Most key functionalities are very intuitively located. However some are hidden. For example, automations are not well-labelled on the UI.</p>

<p>Smartsheet is designed to function in a similar way to a spreadsheet. If you are comfortable using these or have used them before, learning your way around Smartsheet will be easier. However, even if this is the case, processes can be a bit fiddley compared to other project management tools. We estimate that average start-up employee and would require a few days and some guidance before being able to use the product fluently.</p><p><br></p><p>Key information and processes are generally easy to find but not always easy to perform.</p>

<p>ProjectManager has some colour customisation available. That being said, it could do with a touch more finesse in places. It is by no means an unattractive piece of software but it's nothing special.</p><p><br></p><p>Loading times are fast at ~ 1 second per page.</p>

<p>Smartsheet lacks colour and is generally a bit plain to look at. That being said, the software is visually acceptable and for the most part has fast loading times (~1 second). When first creating a new project or workspace, loading times can be slower (upwards of 6 seconds) - but this is a one off occurrence.</p>

<p>ProjectManager could do better here, but still has some good customisation. You cannot create a custom report in ProjectManager - there are only self-serve reports available. However, the level of filtering available when choosing which projects, tasks, tags etc. should be measured when creating these self-serve reports is extensive. Automations, on the other hand, could do more customisation wise. They offer basic automations - but no email templates or integrations with 3rd parties, e.g. sending a message in Slack.</p>

<p>Smartsheet has some very strong customisation features. The most impressive being their forms which are customisable in almost every way - from question type to, condition logic, to cosmetics etc. Automation is also nicely customisable with a vast array of action and trigger functions, as well as conditional logic available. Smartsheet could benefit from a few more task views - other similar project management tools offer far more!</p>

Responses are fast and helpful.</p><p><br></p><p>Self-serve materials are of great depth and quality. In particular, their onboarding materials essentially tell you all you need to know to use the ley functionality and leaves you feeling in control of the product.</p>

<p>Personalised support is available via email and and in-app chat. The in-app chat feature is not something to rely on too much as responses are not always fast. Email agents are very accommodating, useful and fast (relies in less than 6 hours).&nbsp;</p><p><br></p><p>Self-serve materials are strong but not exceptional. They do not have 'how to's' for every feature. This is likely to drive traffic to their paid 'Smartsheet University' where they charge to teach you basic, intermediate and advanced functions in Smartsheet.&nbsp;</p>
