Key findings

Airtable is a versatile project management tool. It can be used for many different types of work, or even just for data collection. We recommend Airtable in particular to those doing very data intensive work - especially if you are looking to collect large amounts of data from customers. Airtable's highly customizable forms, the answers to which auto-populate in a spreadsheet, are a great example of a feature that will save you time when organizing your data and make it easier to read and analyze. If you are considering Airtable, then it is likely that you are currently using a spreadsheet software like Google Docs or Excel and are wondering if it is worth the price. We recommend taking advantage of their free trial, but keep in mind that Airtable is generally better for data organization/visualization/customization, real-time updates and workflow automations when compared to purely spreadsheet software.

Exceptional Project Portfolio Management

We found Airtable excels at providing comprehensive project oversight.

You can view projects in the same way you can view task - with a grid, calendar, gallery, kaban, timeline, list or gantt view. As such, you can get a very detailed view of the health of projects and see what needs to be finished and what is done. You can also add custom fields and filter for them - allowing you to see, for example, which projects are past their deadline.

Highly Customizable

Airtable stands out for its strong customizability. You can set up automations that integrate with third-party tools, offering a solid range of trigger and action options, along with conditional logic. The forms are just as flexible, letting you use conditional logic, various answer types, and personalize them with banners, logos, and colors. Even the reporting features are customizable, with built-in extensions that help you create tailored reports.

Powerful Workflow Automation
We were impressed by Airtable's robust automation capabilities. Teams can create sophisticated workflows using conditional logic, trigger actions, and integrate with external tools to automate routine tasks like sending weekly digests or Slack notifications.
Strong Integration Capabilities
We found Airtable's integration ecosystem particularly robust, with seamless connections to major platforms like Slack, GitHub, and Jira. The platform's API and Zapier integration further extend its connectivity options for custom solutions.

Cumbersome Subtask Management
We discovered that creating subtasks is unnecessarily complex, requiring users to create entirely new tables and link them manually. This convoluted process can lead to subtasks getting lost or mismanaged, especially in larger projects.
No Internal Documentation Capabilities

We found Airtable completely lacks the ability to create and maintain internal documentation or wikis. Teams needing to maintain knowledge bases or project documentation must rely on external tools, creating a fragmented workflow.

Absence of Time Tracking
We were disappointed to find no native time tracking functionality. This is a significant limitation for teams needing to monitor productivity or bill clients accurately, forcing them to use separate time tracking solutions.
No Task Creation from Forms
We found that while forms can collect data, they can't automatically generate tasks. This creates extra work for teams handling customer requests or support tickets, as they must manually convert form submissions into actionable tasks.

Airtable is best for

  • Businesses with a moderate number of active projects (5-10 projects at a time).
  • Businesses that need extensive data organization and visualization capabilities with highly customizable forms and fields.
  • Teams who want strong workflow automation and project-goal alignment for strategic planning.

Airtable is less good for

  • Businesses with a high number of active projects (10+ projects at a time) who need streamlined task management and quick project setup
  • Who need real-time team collaboration and built-in documentation capabilities
  • And/or who need integrated time tracking and approval workflows for project billing.
