Key findings

Capsule stands out in two areas. First, its Chrome Extension makes it easy to track past interactions, add tasks, and create contacts right from your inbox. Second, it offers project pipelines alongside sales pipelines, so you can manage projects directly within the CRM.

Outside of these features, though, Capsule feels a bit lackluster. Essentials like email sequencing aren’t included - you’ll need to purchase “Transpond,” a separate marketing platform, to fill the gaps. Capsule is worth considering if you’re bundling it with Transpond as a simple, integrated sales and marketing suite, but on its own, it’s pretty basic.

CRM functionality in your inbox

We found Capsule's Chrome Extension for Gmail and Outlook to be outstanding. It brings full CRM functionality right into your inbox, letting you view tasks, track interactions, and create contacts with a single click.

Easy to Learn and Use

We were impressed by how quickly users can get up to speed with Capsule. The interface is intuitive enough that most users can become proficient within an hour, even without extensive training.

Clean Visual Design

We appreciate Capsule's thoughtful visual design, featuring color-coded elements and quick page load times of 1-2 seconds. The interface strikes a good balance between functionality and aesthetics.

Reliable Customer Support

We found Capsule's support team to be consistently responsive, typically replying within minutes. Their self-serve documentation is comprehensive and well-written, covering most common use cases.

Limited Core CRM Functionality

We found Capsule's core CRM functionality to be basic. It lacks features like email engagement tracking and lead scoring, and most advanced features require purchasing Transpond (Capsule's marketing add-on - that is actually a separate platform).

Clunky Email Sequence Management provided by marketing add-on

The email sequence functionality is poorly executed. We found the process clunky, requiring navigation to a separate platform, Transpond, which you have to pay extra for. The sequence builder is slow and complex, forcing users through a marketing email builder even for simple sequences.

Poor Automation Capabilities

Capsule’s automation feels half-baked. You can’t trigger workflows from new contacts or leads, and the list of actions is tiny. You can’t even update field values - so for teams that rely on proper automation, it won't fit the bill.

Poor Data Enrichment Implementation

We found the contact enrichment feature to be frustratingly implemented. Once your contacts are synced with Transpond, you can’t enrich them in bulk—only one by one. For any serious user, that’s way too time-consuming to be practical.

Limited Reporting

Reporting is pretty limited. You only get a few basic pre-built reports—missing key metrics like pipeline conversion rates or stage duration. You can’t build custom reports or view multiple at once, which makes it hard to get a full picture.

Capsule is best for

  • Businesses with a low volume of customer interactions (10-50 messages/calls per day)
  • Who really want CRM functionality in their inbox and want to manage both sales and project pipelines in one place
  • And/or is using Transpond (Capsule's marketing add-on)

Capsule is less good for

  • Businesses with moderate to high volume of customer interactions (>50 messages/calls per day)
  • Who need advanced workflow automation and marketing capabilities without additional platforms
  • And/or who need a highly customizable CRM with advanced reporting and customisability
