Key findings

In a nutshell, ProofHub is simple but done well. Aside from its core features - custom reports, time-tracking, dependencies, in-app chat etc. - which all work very well, pricing is a huge USP for ProofHub. Large companies can get excellent value from their flat fee which does not depend on the number of users. However, note the flip side of this: ProofHub is exceptionally expensive for tiny teams with only a few users.

Communication and customisation stand out when using ProofHub. Communicating with colleagues is a breeze with an in-app chat, comments on each task, and an announcements widget on your homepage which displays any team/company-wide messages. Additionally, white-labelling, custom reports and editable homepages make ProofHub nicely customisable. However, ProofHub lacks any automations - a serious miss on their part.

Pros

Exceptional Ease of Use

We found Proofhub remarkably intuitive to use, requiring only 1-2 hours for new users to become proficient. Even advanced features like custom reporting are straightforward to navigate, making it ideal for teams seeking minimal onboarding time.

Polished User Interface

We appreciate Proofhub's visually appealing interface, featuring well-structured layouts and thoughtful color schemes. The homepage's widget organization makes information easily digestible, with impressively fast ~1 second loading times.

Comprehensive Project Portfolio Overview

We found the auto-generating 'all projects' report particularly valuable, offering detailed insights into project distribution, status, completion percentages, and team assignments. This makes it excellent for portfolio management.

Powerful Custom Reporting and Dashboards

We were impressed by Proofhub's reporting capabilities, particularly its ability to create custom reports using task-level fields. The self-serve dashboards effectively display key metrics through visual aids, making project tracking highly efficient.

Cons

Basic Functionality Only

We were disappointed by Proofhub's limited functionality beyond basic features. The complete absence of workflow automation is particularly problematic for teams seeking to streamline repetitive tasks and improve efficiency.

Mediocre Customer Support

We were frustrated by the lack of direct support options. With no in-app chat support and a reliance on email responses that can take up to 12 hours, teams requiring immediate assistance will find themselves waiting.

Restricted View Options

During our testing, we found the project view customization options to be disappointingly limited. With only four basic views available (list, board, gantt, calendar), teams requiring more specialized visualization options will find themselves constrained.

Limited Integration Capabilities

We found Proofhub's integration capabilities to be severely lacking. With only 14 available integrations and missing crucial connections to Zapier, Zendesk, Notion, and Jira, teams requiring extensive tool connectivity will find themselves frustrated.

ProofHub is best for

Businesses with a moderate number of active projects (5-10 projects at a time)
Who need intuitive task management with visual dashboards and need granular custom reporting capabilities
And/or who want seamless team communication and need built-in chat with project-specific group discussions.

ProofHub is less good for

Businesses with a high number of active projects (10+ projects at a time) who need sophisticated workflow automation and extensive third-party integrations
Who need advanced resource management capabilities and workload visualization for team capacity planning
And/or who need advanced project templates and sophisticated document management with extensive customization options.
