Key findings

If you like spreadsheets, you'll love Smartsheet! Smartsheet is like a spreadsheet on steroids - it is excellent for teams who do very technical work or collect large amounts of granular data. Its extremely customizable forms automatically record responses and populate a spreadsheet with the collected data. It also has great resource management, collaboration, and portfolio management capabilities. But beware: if you are not adept at using spreadsheets, this software will have a steep learning curve. Many of its functions are intricate and very specific in what they require. If you are looking for an easy-to-use project management tool, Smartsheet is not for you.

Pros

Exceptional Portfolio Management

We found Smartsheet's portfolio management capabilities to be outstanding. The projects dashboard provides an instant snapshot with auto-generated project links, completion percentages, and task status breakdowns, all presented with intuitive visual aids.

Advanced Automation Capabilities

We tested Smartsheet's automation features and found them remarkably powerful. The platform offers conditional logic, numerous pre-built triggers and actions, plus the ability to create custom automation workflows with customizable frequency settings.

Robust Time Tracking

We were impressed by Smartsheet's flexible time tracking system, offering multiple tracking methods from simple half-day increments to detailed itemized tracking. The integration with expense tracking and budget monitoring makes it particularly valuable for project costing.

Highly Customizable Forms

We were impressed by Smartsheet's form builder, which offers extensive customization options. Teams can create sophisticated forms with various question types, conditional logic, and branded aesthetics, automatically populating spreadsheets with collected data.

Comprehensive Visual Dashboards

We found the dashboard creation tools particularly strong, allowing teams to generate custom widgets, visualize key metrics, and create detailed reports. The ability to embed various content types and share or privatize reports adds significant value.

Cons

Steep Learning Curve

We found Smartsheet's spreadsheet-based interface particularly challenging for new users. The process of creating and managing tasks feels tiresome, requiring users to navigate between cells rather than using a more intuitive questionnaire format.

Basic User Interface

We were unimpressed by Smartsheet's plain, utilitarian interface. The lack of visual polish and color makes the platform feel dated, which can impact user engagement and daily usage satisfaction.

No Multiple Assignees

We found it frustrating that Smartsheet doesn't support assigning multiple team members to a single task, which severely limits collaboration on shared responsibilities and complicates workload management for team projects.

Restricted View Options

We found the view customization options disappointingly limited, with only five basic views available. This lack of flexibility is particularly problematic for teams needing diverse ways to visualize their project data.

Businesses with a high number of active projects (10+ projects at a time)
Who need granular data collection and analysis through highly customizable forms that automatically populate spreadsheets
And/or who want sophisticated resource management with features like workload heatmaps and capacity tracking.

Businesses with a low number of active projects (3-5 projects at a time) who need simple, intuitive task management without spreadsheet complexity.
